The processing is based on the consent of the interested party.

The interested party can subscribe to the newsletter service in order to keep up to date as regards the activities of the data controller;
The interested party can supply consent to receive commercial offers and advertising from Bologna Welcome or its commercial parties and for the conduction of market surveys.
The interested party accepting to be profiled can receive offers and information more in line with his/her interests.

Supplying data is optional but not supplying them impedes the subscription to the newsletter. Failure to consent to the receipt of commercial offers or to profiling does not impede the subscription to the newsletter service but the user will not be able to receive all the offers made by Bologna Welcome. The subscription to the newsletter service is unlimited until the consensus is revoked by the interested party or until the end of the service.

Data will be stored for a period of 12 months. Data will be made anonymous for further processing (profiling).

Personal data Contact data Business data Images The processing enables the establishment and fulfilment of the contractual relationship as well as the compliance with all related tax and instrumental/functional administrative regulations and/or anyway useful for the establishment and fulfilment of the contractual relationship for the subscription to Bologna Welcome’s affiliate programme. Supplying the data is necessary to conclude the contract; not supplying data makes the subscription to the Affiliate Section impossible. Loading images is optional and not loading them does not impede the subscription to the affiliate programme. Data are processed for the duration of the contractual relationship and, following that, for the period of time required by law for administrative, tax/accountancy purposes.

Personal data will not be divulged on the Bologna Welcome website. Any publication of content (e.g. Images, contact data) on the website is based on the consent of the interested party. Personal data will be communicated to our commercial partners collaborating for the promotion of Bologna Welcome affiliate activities . Supplying data is a contractual obligation, not supplying will result in not being able to take advantage of the opportunities provided by the affiliate programme in terms of visibility and business increase.

The interested party loading images taken in their business is the sole owner of said images and guarantees that their processing, also as regards interested third parties, is lawful and based on free, unequivocal, specific, informed consent or on another lawful juridical base.

Processing enables the establishment and conducting of the contractual relationship as well as the fulfilment of all related tax and instrumental/functional administrative regulations and/or anyway useful for the establishment and fulfilment of the contractual relationship to purchase the Bologna Card, to book a service (e.g. stay in a hotel) or to purchase online or in-store products and services (e.g. tours, tourist packages).

Supplying the data is necessary to conclude the contract; not supplying data makes the purchase impossible.

Without your phone number we can’t inform you about possible schedule changes or contact you for logistical needs of guided tours or other services of ours.

Data are processed for the duration of the contractual relationship and, following that, for the period of time required by law for administrative, tax/accountancy purposes.

Supplying personal data is optional and does not impede the purchase. The interested party has the right to oppose direct marketing at all times. Supplying the data is necessary to conclude the contract; not supplying data makes the participation to the Bologna Convention Bureau impossible. Data are processed for the duration of the contractual relationship and, following that, for the period of time required by law for administrative, tax/accountancy purposes.

Personal data will not be divulged on the Bologna Welcome website. Any publication of content (e.g. images, contact data) on the website is based on the consent of the interested party. Personal data will be communicated to our commercial partners collaborating for the promotion of the activities of Bologna Welcome affiliates. The supply of data is a contractual obligation; not supplying the data makes it impossible to collaborate with the network, be involved in the organisation of events or receive information.

2. HOW IS PERSONAL DATA PROCESSED?

The data collected are processed mainly with IT tools. Suitable safety measures are observed to prevent the loss of data, illicit or incorrect use and unauthorised access. The Data controller collects personal data via specific contact forms or the same are forwarded to the Data controller via email The Controller sends email messages to users who have given their consent via a newsletter management service. For the newsletter and marketing/advertising service, we use the HubSpot service to send email messages. Personal data are processed mainly within the European Union territory.

  • When you make a purchase on our website, some data could be processed by data centres located in Switzerland through one of our Personal data processing managers. The transfer of data to Switzerland guarantees a suitable level of protection in accordance with the European Commission’s adequacy decision of 26 July 2000.
  • Some services provided by our Data Processing Managers (Newsletter service, management and CRM, other services) involve a transfer of personal data to the United States of America. The transfer of data to the U.S.A. guarantees a suitable level of protection, as companies adhere to the Privacy Shield agreement that binds US companies to guaranteeing protection levels that comply with
  • EU parameters.
Personal data, once the purposes of processing is reached, can be made anonymous for statistical purposes of the data controller interested in analysing aggregate data which do not in any way identify the person who gave the data.


WHY DO WE ASK MORE INFORMATION ABOUT YOU?

If the interested party agrees, profiling is used to market experiences, services and products in line with the interests shown by the interested party. No automatic decision is taken and your consent enables us to remind you to visit events or places similar to those you have already visited, to inform you on new editions of events you attended or to advertise products and services that we think might interest you. With this type of processing, we can contact you via email, phone, SMS or other means you have given your consent to to inform you about places, products, services or events in Bologna that most suit your tastes.

The interested party has the right to oppose processing for profiling and direct marketing purposes.

3. WHO IS PROCESSING PERSONAL DATA?


Personal data are processed by authorised internal personnel suitably trained, who will anyway be bound by professional secrecy and maximum confidentiality. Personal data are processed by companies that deal with website update and maintenance or that supply other services to the Data controller. They are formally designated as personal data processing managers and are bound to comply with the safety technical and organisational measures that guarantee the protection of personal data.


For some projects, services or products, personal data are processed together with third parties in their capacity as Co-Controllers of the processing of personal data, by defining the purposes and methods of processing with an agreement also in order to ensure the protection of personal data. For example, the single providers of tours or tourist packages are co-owners of the processing and process the data to allow you the access to the service. Bologna Fiere is Data Co-controller for some activities, such as for example sending promotional material to Bologna Welcome Card Art Week buyers.

4. THE INTERESTED PARTY HAS THE RIGHT TO REQUIRE



Access to personal data The interested party has the right to obtain the confirmation that his/her personal data are being processed, more information on the processing as well as a copy of the personal data.
Modification of personal data The interested party can require the modification of personal data to guarantee its correctness.
Cancellation of personal data The interested party can obtain the cancellation of personal data in the cases envisaged by art. 17 of the GDPR. The interested party has the right to obtain the transformation into anonymous form or the blocking of the data processed in violation of the law in accordance with art. 7 of Legislative Decree. 196/2003.
Data limitation The interested party may ask for the processing of data to be limited, opposing their cancellation should it be necessary to exercise or defend a right in court.
With reference to the personal data processed with automated means, the right to data portability.. The interested party has the right to receive personal data in a structured format of common use.

When the processing is based on consent, the interested party has the right to withdraw consent at all times.

The interested party can oppose the processing of personal data The interest party has the right to oppose direct marketing at all times. Some personal data supplied voluntarily by the interested party can be used for user profiling purposes but no decision with automated processes is applied. Profiling is based on manifest consent provided by the interested party, who may oppose it at any moment.

5. POLICY FOR USERS UNDER THE AGE OF 16


Activities and services carried out by Bologna Welcome are not specifically intended for users under the age of 16 years.
If you have not turned 16 yet, under no circumstances shall you provide any personal information or personal data (e.g. first name, last name, e-mail address), without prior authorization from a parent or from a holder of parental responsibility.
In the event that Bologna Welcome becomes aware that personal information and data have been provided by a person under the age of 16, the company will take timely action to obtain the explicit consent form the parents (or a holder of parental responsibility) in order for such data to be correctly processed.
Any other personal area activated by a person under the age of 16 on the Website will also be deleted if he/she has voluntarily concealed his/her age by providing untrue information or by failing to obtain the parental authorization.
Parents or holders of parental responsibility shall submit their authorization to Bologna Welcome electronically by e-mail or personally at the company’s counters of Piazza Nettuno 1, Bologna.
In accordance with Art. 8 of GDPR, Bologna Welcome shall take all appropriate action in order to verify the validity of the information and the authorizations provided, without any misuse by users being attributable to Bologna Welcome.
